The agreement is between us, the Organiser, and the person who completes the ProductCamp 2022 Registration forms or who purchases a ticket (or having a Ticket Purchased / Obtained for them) (“you” or “your”).

We are committed to protecting your personal information. These Terms and Conditions include and incorporate by reference our Privacy Policy, which explains the types of information processed in connection with your attendance at ProductCamp.

Part 1 – Glossary

For the avoidance of doubt, the expressions used in these Terms and Conditions shall be interpreted in accordance with the following glossary:

  • Organiser – Ultimo Sp. z o.o., with its registered office at ul. Raduńska 40, 83-333 Chmielno, Poland, NIP [taxpayer’s identification number] 957-102-71-84, REGON [statistical number] 220837957. Ultimo Sp. z o.o. is the Organiser of “ProductCamp 2022” event and provides access to a product management and design conference that allows participants to take part in talks & discussions taking place on June 2-3 2022 (the “Event”),
  • Event – is a two-day Conference called “ProductCamp 2022”. Event is carried out by the Organiser on 2-3 June 2022 in Gdynia. The Event is a mix of pre-curated keynote speeches as well as Barcamp talks. Also referred to as Conference,
  • Barcamp  – the type of conference presentation where participants run and deliver talks,
  • Speaker – all keynote speakers and barcamp speakers (Participants, who register via the Speaker Registration Form, prepare and voluntarily deliver a presentation, Q&A or panel during the Event.),
  • Ticket –  Ticket allowing participants to access and participate in all 2 days of the Event,
  • Client – an individual or an entity who purchased the Ticket for the Event or ordered the Tickets on behalf of employees (Participants),
  • Confirmation of Participation – an e-mail sent by Organiser to the Participant upon the registration for the Event,
  • Participant – an individual or an entity who has received Confirmation of Participation.This includes all types of participants – Speakers, individual attendees, Partner attendees, Conference participants, clients, all individuals who registered on their own or have been registered by a third-party, gained access and/or actively or passively partake in Event,
  • Partner – a company or an entity that has accepted and signed a Partner agreement in exchange for partner benefits,
  • Service – Service provided by the Organiser enabling access, participation, speaking, watching and networking, including the website, content and proprietary or third-party software associated with the provision of the service,
  • Emergencies – circumstances which, despite exercising due diligence, are unpredictable, cannot be prevented or resisted effectively and for which the Organiser shall not be responsible. Including but not limited to acts of war, terrorism, pandemics, lock downs or states of emergency. 


Part 2 – General provisions

  1. Terms and Conditions shall be binding for Participants and Partners of “ProductCamp 2022” and govern their use of our Service and access to Event.
  2. “ProductCamp 2022”, hereinafter referred to as Event, will be held on 2-3.06.2022 in Gdynia, PPNT – Pomorski Park Naukowo-Technologiczny.
  3. Event shall be held in English language as a main language, as specified in Event agenda on www.productcamp.pl. Some Speakers might offer Barcamp presentations in Polish language. The Organiser shall not provide Participants with translations of presentations into other languages.
  4. The Organiser reserves the right to replace speakers, revise the agenda, change the date/time of Event, terminate earlier or cancel the entire Event, for reasons beyond the Organiser’s control (includ­ing Emergencies, with­out lim­i­ta­tion, to acts of God, floods, light­ning, storm, fire, explo­sion, war, mil­i­tary oper­a­tions, acts or threats of ter­ror­ism, strike action, speaker availability, lock-outs or oth­er indus­tri­al action or a pan­dem­ic, epi­dem­ic or oth­er wide­spread illness, outage or malfunction of third party software required to run Event, cyberattacks,  unpredictable loss of Internet connectivity). In such a case, the Organiser shall publish up-to-date information on Event’s website, on Facebook: https://www.facebook.com/productcamppl/, and e-mail Participants who have purchased tickets. Should the date or venue of the Event be changed, the Ticket shall remain valid and effective at the new date or venue of the Event. 
  5. In case of the date change or postponement (with or without the specific new event date given), Organiser will pro­vide Participant with an e-mail notice offering a choice of (a) cred­it for a future event (up to the val­ue of sums paid by Participant) to be used with­in 36 months of the date change; or (b) the oppor­tu­ni­ty to attend Event on the new date.
  6. In case Organiser is required to can­cel Event as a result of a reason out­side of Organiser’s con­trol as per par. 2.4., Organiser will not be liable for any costs including trav­el, accom­mo­da­tion or any oth­er expens­es incurred (includ­ed wast­ed costs and expens­es) by Participant.
  7. Should the Event be cancelled for reasons attributable to the Organiser, Participant shall be reimbursed 100% of the costs of the ticket.
  8. The Organiser reserves the right to change the format of the Event to an online only format. In such a case the price of tickets to participants will not change, but the cost saving attributable to moving the event online (ie participant lunches and other venue costs) will be donated to charity.
  9. The Organiser reserves the right to deny access to the Facility (event venue) to those who:
    a) are visibly under the influence of alcohol, narcotics or other similar substances, or
    b) behave in an aggressive manner or in any other way that poses a threat to the safety of other Participants, or
    c) refuse to present their identity document to persons authorised by the Organiser to verify their right to enter the Event on the basis of the Ticket presented, or
    d) refuse sign a Covid declaration, or
    e) violate or object to the rules of the Code of Conduct, or
    f) refuse to present a valid Covid certificate of vaccination or a valid Covid certificate of recovery.
  10. Participants who will be refused access to the Event for reasons outlined above will not be offered any reimbursement for any costs associated with this denial of access, nor will they be reimbursed for the cost of the tickets purchased.
  11. It is forbidden to bring into the Facility:
    a) dangerous items, in particular weapons, explosives, knives,
    b) alcoholic beverages, psychotropic substances, narcotics and other similar substances.
  12. The Event may be attended only by persons of legal age (18years).
  13. As a Participant you acknowledge that the Organiser will make use of third party software applications to stream, deliver and broadcast Event, upload videos and enable communication between Participants and Partners.
  14. By completing Event’s registration form (via Evenea platform or directly purchasing tickets from the Organiser), you are accepting third party software legal terms:
    – YOUTUBE Terms and Condition,  Youtube Terms of Use, Youtube  Privacy Policy
    – GOOGLE WORKSPACE, Terms & Conditions, Privacy Policy
    – MAILCHIMP – Terms and Condition,  Mailchimp Terms of Use, Mailchimp Privacy Policy
    – EVENEA, Terms & Conditions, Privacy Policy
  15. By agreeing to these terms and conditions you consent to:

Part 3 – Conditions of participation

  1. Event may be attended by anyone who registered for the Conference and purchased a ticket in compliance with the rules described in these Terms and Conditions and at www.productcamp.pl
  2. By registering for participation or purchasing a ticket, the Participant accepts these Terms and Conditions and undertakes to abide by them. If you do not wish to be bound by these Terms, please do not register, attend or participate in the Event.
  3. If you are registering on behalf of another person it is your obligation to ensure that the person attending is cognizant with and consents to these Terms. By completing and submitting the registration form or purchasing tickets for your employees or co-workers you are representing and warranting that you have made the person attending aware of these Terms and that they have accepted these Terms.
  4. If you’re registering on behalf of another person, you are obliged to enter this person’s email address, as Service will be provided only to email addresses entered in the registration process.
  5. By registering for participation or purchasing a ticket or accessing the Venue of the Event, Participants confirm to hold a valid Covid certificate of vaccination or a valid Covid certificate of recovery.
  6. In order to enter the Venue of Event the Participant must:
    a) present their identity document based on which a name badge shall be issued; every Participant shall receive a name badge upon registration.
    b) Sign a Covid declaration. 
  7. The Participant shall cover the costs of travel to and accommodation at the Event, as well as the costs of meals, except for lunch, which shall be provided every day of the Event.
  8. The Organiser reserves the right not to admit to the Event those who have not submitted a registration form or who do not have a valid Ticket / name badge.

Part 4 –  Participant’s rights and duties

  1. Participants shall read these Terms and Conditions prior to Event.
  2. Registering for participation for the Event or purchasing a ticket constitutes a consent that the Participant agrees to the use of video and photo materials where they are recorded for promotional purposes of ProductCamp and ProductCamp’s Partners. Anyone who does not grant such a consent shall notify us about this withdrawal via e-mail sent to ido@productcamp.pl, not later than by 15/05/2022.
  3. Participant shall not record, use or transmit any audio or video recordings of the Event.
  4. During Event Participant may not conduct any commercial, gainful, advertising or promotional activities, unless upon the Organiser’s prior written consent.
  5. The Organiser shall not be liable for any incidents resulting from failure to comply with Terms and Conditions.
  6. During the Event, the Participant shall wear the name badge provided during the registration process.
  7. During the Event, the Participant shall follow the safety rules, and organisational and technical instructions and guidelines of the Organiser’s representative.
  8. The Participant shall be fully financially liable for any damage they cause in the facility where the Event is held.
  9. The Event Organiser shall not be liable for Participants’ belongings that may be lost, destroyed or stolen during the Event.

Part 5 – Registration and tickets

  1. Participation in Event shall be contingent upon registering for participation and / or purchasing ticket via www.productcamp.pl and Event’s ticketing system Evenea.
  2. Information about charges and registration rules can be found on www.productcamp.pl.
  3. Ticket purchase terms:
    a) Tickets shall be sold from 23/03/2022 to 01/06/2022 or while tickets quota last.
    b) Ticket may be purchased once Client completes the Evenea registration form provided at Productcamp.pl or (in case of corporate orders, above 5 tickets) pays the pro-forma invoice issued by the Organiser. Pro-forma invoice payments are possible until 22.05.2022 only.
    c) When the Organiser has received the payment and the registration is closed, the Organiser shall confirm Participant’s participation by sending the email confirmation and/or invoice to the Participant.
    d) If the Organiser does not receive a payment for a pro forma invoice within 5 business days, the registration shall be cancelled.
  4. Ticket types & prices:
    1. There are 2 ticket types. Both of them give ticket holders the ability to participate in two days of ProductCamp, take part in barcamp sessions, keynotes and the afterparty. The only difference between these ticket types is the access to the main 4 keynotes.
    a) Keynotes Live. Participants holding this ticket watch the keynotes live in the main auditorium. Due to room limits, there are 300 of these tickets available.
    b) Keynotes Room Streaming. Participants holding this ticket watch the live streaming of the keynotes from rooms adjacent to the main auditorium. There are about 200 of these tickets available.
    2. There is no difference between the ticket types as to accessing the barcamp sessions.
    3. Cost of tickets:
    a) Keynotes Live – 750 PLN Net.
    b) Keynotes Room Streaming – 650 PLN Net.
    4. The aforementioned prices are net prices and cover Barcamp and Conference talks access. The net price shall be increased by VAT tax at the statutory rate and/or the costs of payment charged by PayU and/or the ticketing platform Evenea.

Part 6 – Payments

  1. Ticket prices, payments and invoices are in PLN currency. Prices expressed in EUR on productcamp.pl website are approximate and were calculated according to the Google rate as at 23/03/2022, and should be regarded as a guide only. If a ticket is paid with a credit card issued in a currency other than PLN, the client’s bank may charge additional foreign exchange rates causing the final charge exceeding the price quoted in EUR on productcamp.pl website.
  2. The Client agrees to receive VAT invoices electronically only, sent to the e-mail address provided in the registration form.
  3. There are the following forms of payments:
    a) Bank transfers & credit card payments (via Evenea ticketing platform)
    b) Direct bank transfers to the Organiser based on pro-forma invoice (above 5 tickets).
  4. If a refund of an amount paid by electronic means is required, the refund shall be made by the same payment method.
  5. Organiser will issue an invoice for the ticket purchased only when the Client selects the “I need VAT invoice” / “Chce otrzymać fakturę” option in the Evenea purchase form. According to the Polish Tax Law, Organiser will not be able to issue the invoice after the Client completed the purchase form without indicating the need for an invoice.

Part 7 – Speaker rights and duties

  1. When registered as Speaker you give permission to Organiser to record, store and further distribute your ProductCamp Talk recording including: audio, video camera footage and slides of your presentation, all referred to herein as the “Content”, with other Participants during and after the Event.
  2. Participants becoming Speakers (Barcamp speakers) agree to present or host Barcamp sessions without requesting any financial remuneration or cost reimbursement by the Organiser.
  3. When you as Speaker stream, present and share your Content at Event, you grant:
    a) to Organiser, a worldwide, non-exclusive, royalty-free, transferable licence to use, reproduce, distribute, prepare derivative works of, display, and perform that Content in connection with the provision of the Service and otherwise in connection with the provision of the Service and Organiser’s business, including without limitation for promoting and redistributing part or all of the Service (and derivative works thereof) in any media formats and through any media channels,
    b) to each Participant of Event, a worldwide, non-exclusive, royalty-free licence to access to your Content through the Service.
  4. As a Speaker you:
    a) retain all of the ownership rights in your Content, but are required to grant limited licence rights to Organiser and other users of the Service,
    b) represent and warrant that you have and will continue to have all necessary licences, rights, consents, and permissions which are required to enable the Organiser to use your Content for the purposes of the provision of the Service,
    c) agree that the Content presented or shared by you during and after the provisioning of the Service will not contain any third third-party copyright material or material that is subject to other third-party proprietary rights, unless you have a formal licence or permission from the rightful owner, or are otherwise legally entitled, to post the material in question and to grant Organiser the licence,
    d) shall be responsible for ensuring that the Content presented does not constitute an infringement of any third-party intellectual property rights or breach of any licence, and you shall indemnify Organiser against all claims, costs, losses and liabilities arising directly or indirectly as a result of any act, omission or default of you,
    e) will not stream, present or share any Content which contains material which it is unlawful for you to possess, or which it would be unlawful for Organiser to use or possess in connection with the provision of the Service,
    f) understand and agree that you are solely responsible for your own Content and the consequences of sharing it and publishing it at and after the Event. Organiser does not endorse any Content or any recommendation, opinion, or advice expressed,
    g) understand that whether or not Content is published, the Organiser does not guarantee any confidentiality with respect to Content.
  5. If you as a Speaker do not wish to be bound by these Terms, especially pointed in Part 7 – “Speaker rights and duties”, please do not register, attend, participate, stream, present or share your Content at Event.

Part 8 – Withdrawal from Participation and Transferring the Tickets

  1. Ticket holder may transfer their ticket to another person only until 27/05/2022, and needs to notify the Organiser accordingly, providing such person’s particulars required in the registration form. Any transfer costs between the transferor and the transferee shall be settled exclusively between them. After 27/05/2022 Tickets are not transferable.
  2. A Ticket may be returned only if the Organiser receives a valid can­cel­la­tion e-mail at tickets@productcamp.pl outlining first and last name and e-mail of Participant cancelling. In such a case, if the cancelation is requested:
    a) before 06/05/2022 a 50% refund will be issued;
    b) between 07/05/2022 and 20/05/2022 a 25% refund will be issued; and
    c) after 21/05/2022 to the date of the Event, no refund will be given.
  3. In the event of withdrawal, the costs shall be reimbursed within 25 business days from the date of notification of withdrawal, into the bank account / credit card of the original payment.
  4. Should Event be cancelled, the amount paid into the Organiser’s account shall be repaid not later than within 50 business days from the scheduled date of Event, into the bank account / credit card of the original payment.

Part 9 – Copyright

  1. All lectures, presentations, training films, etc. given and presented as part of Event shall constitute works as defined in the Act on Copyright and Related Rights of 4 February 1994 (Dz. U. of 2016, item 666, as amended) to which the economic copyrights are vested in the Organiser or persons presenting the given works, in particular speakers and Speakers.

Part 10 – Event Website

  1. Event Website includes the publicly available website at ProductCamp.pl as well as a registrant-only section of the website available only to Participants who registered to Event.
  2. When accessing and using Event Website and its related subdomains you are prohibited from:
    a) violating any law, statute, ordinance or regulation;
    b) using the Website (or any part of it) for any illegal purpose and you agree to use it in accordance with all relevant laws;
    c) promoting or providing information about illegal activities, promoting physical harm or injury against any group or individual, or promoting any illegal acts;
    d) uploading or transmitting through the Website any computer viruses, macro viruses, Trojan horses, worms or anything other harmful activity;
    e) overriding any security feature of the Website or jeopardise the security of your account or someone else’s account (such as allowing someone else to log in to the Website as you);
    f) interfering with the operation of, or places an unreasonable load on, the Website (such as viruses, denial of service attack or gaming algorithms);
    g) using manual or automated software, devices or other means or processes to access, scrape or crawl the Website or any content or information contained in it;
    h) engaging in ‘framing’, ‘mirroring’, or otherwise simulating the appearance or function of the Website;
    i) removing any copyright, trademark or other proprietary rights notices contained in or on the Website; modifying, creating derivative works or copying or storing any significant portion of the Website or any related technology (unless allowed by law or we expressly authorize);
    j) using the Website (or any part of it) in a manner which may result in; (i) the Website being interrupted, damaged, rendered less efficient or such manner designed to interfere with, interrupt or disrupt the normal operating procedures of a computer or Website; (ii) sharing any material which is unlawful, libellous, abusive, obscene, pornographic, discriminatory, harmful, fraudulent, deceptive, threatening, abusive, harassing, tortious, defamatory, vulgar invasive of another’s privacy, hateful or otherwise objectionable, defamatory, offensive, or of an obscene or menacing character, or that may cause annoyance, inconvenience or needless anxiety; (iii) impairing the effectiveness or functionality of the Website; or (iv) violating or infringing the rights of any person, firm or company (including, but not limited to, intellectual property rights, confidentiality and/ or privacy) of the Website;
    k) attempting to grant any unauthorised access to any part or component of the Website;
    l) copying or distributing any part of the Website in any medium without our prior written consent; and
    m) altering or modifying any part of the Website other than as may be reasonably necessary to use the Website for its intended use; or
    n) reverse engineering, decompiling, disassembling, deciphering or otherwise attempting to obtain the source code or underlying ideas or information of or relating to the Website or any related technology, or any part thereof unless allowed by law.
  3. Termination
    a) We reserve the right, in our sole discretion, to terminate or block your access to all or part of the Websites, with or without notice, for any reason, including without limitation your violation of these Terms.
  4. Indemnity
    a) You agree to defend, indemnify, and hold us, our affiliates, subsidiaries, joint ventures, third-party service providers, and our respective employees, contractors, and directors harmless from all claims, liability, damages, losses, costs and expenses, including legal fees, that arise out of or are related to any breach of Terms by you or any other liabilities incurred by us arising out of your use or misuse of the Website, or use by any other person accessing the Website using your internet access account.

Part 11 – Final provisions

  1. Any matters not regulated in these Terms and Conditions shall be governed by the relevant provisions of the Polish Civil Code and other, depending on the object in question.
  2. When the Organiser announces any changes in these Terms and Conditions, each Participant who has completed the registration form should immediately read the changed provisions. If the Participant does not accept the changes, they should notify the Organiser in writing of their decision via electronic means of communication, at the address info@productcamp.pl. Such declaration should be received by the Organiser not later than within 7 days from the day on which the amended Terms and Conditions come into force. If the Organiser does not receive Participant’s declaration of non-acceptance of the amendments to Terms and Conditions within the deadline specified above, it shall assume that Participant has accepted the amended Terms and Conditions.
  3. Registration of participation shall constitute transfer of economic copyrights to recordings and photos, free of charge, and Participant’s consent for their commercial distribution. The provisions above cover cases when Participant is filmed or photographed during participation in Event, or when Participant voluntarily agrees to give an interview in front of the camera or to pose for a photo.
  4. The provisions of these Terms and Conditions, including but not limited to § 1, shall also apply to the Privacy Policy implemented for the purposes of Event.
  5. These Terms and Conditions have been drawn up in English.
  6. Any and all disputes arising from contracts concluded based on these General Terms and Conditions shall be settled by a court competent for the Organiser.
  7. These Terms and Conditions shall come into effect on 01/02/2022.
